For dealerships with an in-house notary public, the notary is an individual, not the business. Part of the notary regulations require that a notary to maintain a logbook of all notarizations, which they take with them if their employment at the dealership terminates. This logbook, containing a list of the dealership’s customers, legally belongs to the notary, not the business.
With PitCrew’s REN feature, each transaction is connected to a different notary public, validated as a commissioned North Carolina Electronic Notary for each session. This ensures that the dealership diversifies its customer information and avoids the complications associated with in-house notaries holding a significant amount of customer information.
How It Works – think of it like a ride-share app
- Going Online: Notaries (validated by Data Droplets) log into the PitCrew™ platform and mark themselves as available for notarizations.
- Launch a Secession: When the dealership is ready to notarize documents, they simply launch a secession from within PitCrew™ to be connected to an available remotely located notary in real-time.
- Accepting Requests: When a notarization request comes in, the notary can accept it through the platform.
- Verification: The platform facilitates secure identity verification for both the notary and the customer.
- Notarization Session: The notary conducts the notarization via a secure video call, ensuring all legal requirements are met.
- Document Delivery: Once the notarization is complete, the electronically notarized documents are instantly available to the dealership and the customer from within the PitCrew™ Platform.
